  • Illustrative availability check for Illustrative autumn reception from 2026-10-24 through 2026-10-25; date ranges are inclusive.
  • Reserved quantity is the sum of overlapping booking rows for the same item. A booking that ends on the event start date is treated as overlapping.
  • Rental totals are required quantity multiplied by the entered unit rate. They do not include deposits, taxes, delivery, damage waivers, or labor.

Know the boundaries

  • The planner uses the entered inventory and booking rows only; it is not a live reservation system or synchronized calendar.
  • Date overlap is inclusive and does not model pickup, cleaning, repair, transit, or buffer days unless you add them as booking ranges.
  • Rates are manual planning inputs and exclude deposits, taxes, delivery, labor, and damage waivers.

Examples are illustrative. Results depend on the assumptions and measurements you enter.

Method, not guesswork

Event-rental availability is a time-and-quantity problem. Put the proposed kit in one CSV and every existing hold that could touch the event in another. The result reserves only rows with the same item and an inclusive date overlap, then exposes shortages by bundle.

Common questions

How is the rental kit total calculated?

Required quantity for each inventory row is multiplied by its entered unit rate, then the line totals are added.

Which bookings reduce availability?

Rows with the same item and an inclusive date overlap with the event are summed and subtracted from on-hand inventory.

What should I do with a short item line?

Use it as a sourcing prompt, then add a dated hold, repair buffer, pickup window, or external supply assumption before reviewing the kit again.
